PlanSlot Service Provider / Supplier Terms
Last updated: 17 September 2026
1. Purpose
These Supplier Terms apply to businesses and professionals that use PlanSlot to manage appointments, publish services, manage staff, send notifications, operate waiting lists and receive bookings.
2. Supplier responsibilities
- Maintain accurate business, staff, service, price, availability and contact information.
- Ensure that each service offered through PlanSlot is lawful and appropriately licensed where required.
- Ensure that staff are appropriately qualified for regulated or professional services.
- Maintain appropriate cancellation, lateness and no-show rules.
- Obtain any consents or provide any notices required for processing Customer data for the Supplier’s own purposes.
- Use Customer data only for lawful and appropriate business purposes.
- Not upload unnecessary health records, special-category data or other sensitive information into free-text fields.
- Maintain secure credentials and promptly report suspected account compromise.
3. Data protection role
For Customer and booking data processed by PlanSlot on behalf of the Supplier, the Supplier generally acts as data controller and PlanSlot acts as data processor. The parties will enter into the Data Processing Addendum where required by Article 28 GDPR. The Supplier remains responsible for determining the lawful purpose and means of its customer-data processing and for providing appropriate privacy information to its Customers.
4. Health and special-category data
Where a Supplier is a clinic, healthcare provider or other organisation processing health data, the Supplier is responsible for establishing the appropriate Article 9 GDPR condition and any additional legal basis required under applicable law. PlanSlot should only process such data on documented instructions and only to the extent necessary for the agreed booking/service. PlanSlot's Suppliers include clinics and other healthcare providers from initial launch, so this section applies from day one rather than as a future contingency.
5. Customer communications
PlanSlot may provide SMS, email and push notification functionality as a processor for Supplier booking communications. The Supplier is responsible for determining which service communications are necessary and ensuring that marketing communications are sent only where permitted by applicable law.
6. Subscription and pricing
PlanSlot offers Solo, Team and Business plans priced by team size, and a Business Solution plan for Suppliers with 10 or more staff, multiple locations or more complex requirements, which is quoted individually rather than published as a fixed price. Current plan pricing, what each plan includes, and any fair-use allowances are published on the PlanSlot pricing page. Supplier pricing does not include Customer payments for Supplier services. At initial launch, Supplier subscriptions are paid by bank transfer. Plans are billed monthly or annually, as selected by the Supplier; an annual plan is billed as 11 months' fees for 12 months of service. A Monthly or Annual plan automatically renews for a further equivalent period unless the Supplier cancels at least 30 days before the renewal date. Cancellation takes effect at the end of the then-current paid period; no refund is given for the remainder of a period already paid for, except as required by applicable law.
Each plan includes a monthly SMS allowance for booking-related notifications, used for fair, ordinary account activity. SMS sent beyond that allowance are charged at a pre-agreed price, confirmed with PlanSlot, per additional SMS. Where an individual subscribes to PlanSlot in a personal capacity as a consumer rather than as, or on behalf of, a business, PlanSlot will provide the pre-contract information and any statutory cancellation/withdrawal rights required by applicable consumer law before the contract is concluded, in addition to the renewal and cancellation terms above.
7. Plan limits and changes in team size
Plans are described by team size on the pricing page. PlanSlot does not currently limit the number of staff members a Supplier can add on any plan. If this changes, this section will be updated accordingly and Suppliers will be given notice in line with section 13.
8. Data export and termination
On termination, PlanSlot will provide the Supplier with reasonable access to export available Supplier data, subject to the applicable plan and technical limitations. Personal data will then be returned or deleted in accordance with the DPA, subject to legal retention requirements.
9. Supplier warranties
The Supplier warrants that it has all rights and permissions necessary to provide its services, use uploaded content and process Customer data through PlanSlot.
10. Enterprise terms
Enterprise customers may receive additional contractual terms covering service levels, implementation, support, integrations, security requirements, data residency, custom development and business continuity.
11. Supplier verification
Before a Supplier profile is published, PlanSlot operates a verification process which may include verifying the Supplier’s business or professional identity, contact details and, where relevant to the category of service, licensing or professional registration. PlanSlot keeps an internal record of who performed the verification, when, and what evidence was reviewed. Verification confirms identity and business status; it is not a guarantee, endorsement or warranty of the quality, safety, licensing or legality of a Supplier's services, for which the Supplier remains solely responsible. As a condition of listing on the Platform, Suppliers must provide accurate identity, contact and business registration information, and keep it up to date, as required by Article 30 of Regulation (EU) 2022/2065 (the Digital Services Act). Users may report a Supplier profile or listing they believe is unlawful or misleading to info@planslot.com; PlanSlot will assess reports and take proportionate action.
12. Ranking and promoted placement
Search results and default ordering on the Platform are based on documented parameters, which include relevance to the Customer's search, location, availability, Supplier profile completeness, ratings and reviews, and booking-related quality signals such as reliability and responsiveness. PlanSlot may display paid or promoted placements. These are clearly labelled as advertising or promoted placement and are not presented as an independent organic recommendation. Suppliers must not attempt to manipulate ranking, reviews, bookings or availability. PlanSlot does not currently apply most-favoured-nation or price-parity requirements to Suppliers. If this changes, this section will be updated accordingly.
13. Changes to these Terms, pricing and plans; suspension and termination
PlanSlot will give Suppliers at least 15 days' notice of any material change to these Supplier Terms before it takes effect (including a change to plan pricing, plan limits or the SMS allowance), except where a shorter period is necessary to address a legal, security or fraud-prevention requirement. Where PlanSlot suspends or terminates a Supplier's access, it will, where legally permitted, give reasons for that decision and a reasonable opportunity to respond, except where this would compromise a legal obligation, an ongoing investigation, security or the integrity of the Platform.
